These booking conditions form the basis of your contract with The Wander Yak (“we”, “us”, or “our”). Please read them carefully, as they outline our respective rights and responsibilities. By asking us to confirm your booking, we assume you have read and agreed to these conditions.

These conditions apply only to trips arranged by us in India that we have agreed to provide as part of our contract with you. References to “trip”, “booking”, “contract”, or “arrangements” mean these specific trip arrangements unless stated otherwise. “Departure” refers to the start date of your trip.

1. Booking Your Trip and Payment

To book a trip, follow the procedure on our website or contact our sales team. Each traveller must complete the application form. If you are under 18, your parent or guardian must sign the form. Send the completed form along with the required payments to the address provided at the end of this document.

  • If your selected arrangements are confirmed and you book within the required time, your booking becomes firm once we receive your application and deposit.

  • If availability is not confirmed, your booking becomes firm upon dispatch of our invoice. Electronic acknowledgement of your booking does not constitute confirmation. Please check your invoice carefully.

If the remaining balance is not paid by the due date, we reserve the right to cancel your booking. Any promise to pay late does not waive our right to charge cancellation fees, as outlined below.

2. Pricing and Inclusions

The quoted price covers the planning, organisation, and execution of your trip, including group equipment, supplies, accommodation, administration, and staff. You are responsible for:

  • Travel to and from the start/return point (including international flights)

  • Passport, visas, and vaccinations

  • Personal equipment and expenses

  • Travel insurance

We reserve the right to correct pricing errors before confirmation. Once confirmed, the trip price may only change due to variations in transportation costs, taxes, fees, or exchange rates.

3. Travel Insurance and Health

You must have adequate travel insurance covering cancellations, medical expenses, and evacuation.

By booking, you confirm you are in good health, physically capable of completing your trip, and aware of any medical conditions affecting your suitability. If unsure, contact us before booking.

Please inform us of any special requests before booking. While we will do our best to accommodate these, confirmation in writing is necessary for assurance.

4. Cancellations and Changes

  • In the event of unforeseen circumstances, such as natural disasters, government restrictions, or emergencies, the tour may be postponed or cancelled.

  • In such situations, guests will have the option to reschedule their trip to a future date, but we will issue no refunds under any circumstances.

If a guest initiates cancellation voluntarily, the refund will be processed as per the following schedule:

  • Cancellations made 30 days or more before the trip are eligible for a 90% refund of the total package cost.

  • For cancellations made between 21 and 30 days before the trip, 75% of the total package cost will be refunded.

  • Cancellations made between 11 to 20 days before the trip date will get a 50% refund of the total package cost.

  • No Refund: Less than 10 days. No refund will be given for cancellations made less than 10 days before the departure date. 

Note: The details in the itinerary are provided for reference only and may be updated or changed without notice, as necessary, due to operational needs, weather conditions, or safety concerns.

5. Force Majeure

“Force majeure” includes events outside our control, such as war, civil unrest, terrorism, natural disasters, industrial disputes, adverse weather, or other unforeseen circumstances.

We are not liable for delays, cancellations, or additional expenses arising from such events.

6. Our Liability

We guarantee that all arrangements provided as part of your contract will be made with reasonable skill and care.

We are not responsible for:

  • Acts or omissions by you or third parties not under our control

  • Force majeure events

  • Services outside the scope of our contract

Regional partners operate independently and are not subsidiaries of The Wander Yak, though they may share branding standards.

7. Delays, Behaviour, and Damage

You are responsible for arriving on time for departure and any associated costs. We may withdraw you from the trip if your behaviour endangers others or breaches laws.

You must pay for any loss or damage you cause directly to the supplier, accommodation, or us. Ensure your insurance covers such risks.

8. Travel Documents

You must obtain all necessary travel and health documentation. We cannot accept liability if you are refused entry or incur fines due to missing documentation.

9. Complaints

Report issues immediately to your trip guide, local agent, or supplier. If unresolved, contact us within 14 days of your trip’s end with full details. Prompt reporting is required for us to address complaints effectively.

10. Accuracy of Information

While we strive for accuracy, trip details and pricing may change. Always check final trip details with us at the time of booking.

  • The booking amount (30% of the package amount) is non-refundable. However, you can adjust this amount with any other tour, trek, or activity Uncia offers after the booking date.
